Invite Users and Manage Roles

Add teammates to your company, assign roles, and scope workspace access so editorial work stays secure and organized.

Overview

User management is a company-level capability. Invited users belong to your company, receive a platform role, and optionally get access to one or more workspaces. Invitations are sent by email with a time-limited link; the invitee creates or signs into a CntX account to join.

On Business, administrators control a full role model (ADMIN, MANAGER, EDITOR, VIEWER). On Pro, up to three users can share workspaces—each maintains an individual subscription. Plus is single-user and does not expose user management.

When to use

  • You need editors, managers, or viewers on your editorial calendar and content library.
  • A new hire must access specific workspaces without seeing every brand in the company.
  • You want to change someone’s role after a promotion or handover.
  • An invitation expired or was sent to the wrong address.

Before you start

  • You must be ADMIN of the company (`canInviteUserToCompany` requires company admin).
  • Confirm seat availability for your plan:

Plus — 1 user (no invitations). – Pro — up to 3 users on the company; each user is billed separately. – Business — 3 platform seats included; additional seats billed at 25 €/month each.

  • Have the invitee’s work email and intended role ready.
  • Optional: list which workspaces they should access on day one.

Steps

1. Open user management

  1. Sign in to the company where you are ADMIN.
  2. Open Settings → Users (or Teams → Users, depending on layout).
  3. Review the user count indicator (for example, `2/3 users` on Pro or Business base seats).

2. Send an invitation

  1. Click Invite a user.
  2. Enter email, first name, and last name.
  3. Select a company role:

Administrator — full company control, billing, users, and settings. – Manager — user and team management; broader settings access. – Editor — create and edit content, briefs, and calendar items. – Viewer — read-only access; some company-level context may be hidden.

  1. Optionally assign workspace access and a workspace-level role in the table provided.
  2. Send the invitation.

The invitee receives an email with a link valid for 48 hours by default.

3. Track invitation status

In the users list or invitations panel, check status:

StatusMeaning
PendingSent; waiting for the invitee to accept.
AcceptedUser joined the company with the assigned role.
ExpiredLink timed out—resend a fresh invitation.
RejectedAdmin declined a domain-based request (Business workflows).

Resend or delete stale invitations instead of stacking multiple active tokens for the same email.

4. Edit an existing user

  1. Open Settings → Users.
  2. Select the user and click Edit.
  3. Update company role and/or workspace assignments.
  4. Save changes.

You cannot change your own role (security restriction). Only an owner-level admin can modify another owner.

5. Remove a user

  1. Open the user row and choose Delete.
  2. Confirm the warning: removal is permanent and revokes all workspace access.

Do not delete yourself. Transfer ADMIN responsibility first if you are leaving the company.

Expected result

  • Invited users appear as Pending, then Accepted after signup.
  • Each user sees only workspaces you assigned (or those they create if permitted).
  • Role-appropriate sidebar items appear—viewers cannot edit strategy; admins see billing.

Tips

  • Assign workspace access at invite time for Business teams with many brands—it avoids “empty workspace” confusion on first login.
  • Pro users share editorial quota (pages crawled, storage) even though each pays individually—coordinate crawl and generation usage.
  • Platform CONTRIBUTOR seats (login + billed) are different from email-only contributors—manage those separately under workspace settings.
  • If an invitee says the link failed, check spam folders and expiration before opening a support ticket.
