Optimize and Approve Content
Polish drafts for SEO and brand fit, run editorial review, and reach **Approved** status before anything goes to your CMS.
Overview
Generation produces a workable first draft—not a finished publish. Optimize and approve is the human quality gate: strengthen headlines, tighten intros, verify keywords, align with brand guidelines, and move editorial status to Approved so CMS publish is safe.
CntX separates this from brief approval (calendar) and CMS sync (integration). This article covers the editorial path inside the content editor and Contents list filters.
When to use
- A draft exists with editorial status Draft, In progress, or In review.
- To do now or Contents filters show content to review.
- You are the designated approver before WordPress or Webflow publish.
- SEO or brand review is required by your workflow policy.
Before you start
- Re-read the linked brief—approval means the draft fulfills the planned intent, not just reads well in isolation.
- Open Brand platform or style references if your workspace defines tone, forbidden terms, or formatting rules.
- Confirm keyword targets from the brief or audit insights still match search intent.
- Know your rule: content must be editorially Approved (or Published in CntX) before CMS publish—CntX warns otherwise.
Steps
- Open the draft from Contents (filter In review or In progress) or from the calendar Review content action.
- Structure pass — Check headline clarity, intro hook, section flow, and CTA placement for the funnel stage.
- Brand pass — Adjust voice, terminology, and claims against your brand and compliance rules.
- SEO pass — Verify title tag, meta description, primary keyword usage, and internal link opportunities without stuffing.
- Fact and offer pass — Confirm product names, pricing, dates, and legal disclaimers match current Context.
- Set editorial status:
– Writer: Submit for review → moves to In review – Reviewer: Approve → moves to Approved – If rework needed: Rejected or send back to In progress with comments offline
- Optional: run a final read in preview mode if your channel supports it.
- Stop at Approved unless your process also requires CMS publish in the same session—publish is a separate deliberate action.
Expected result
- Editorial status is Approved for items cleared for release.
- SEO and brand checks are complete; no placeholder or lorem text remains.
- Calendar and Contents next actions show Publish or Distribute.
- CMS status remains Not synced or CMS draft until someone publishes— that is expected.
Tips
- Do not skip In review — Even small teams benefit from a explicit handoff; self-approve only if policy allows.
- Approved ≠ live — Marketing may schedule CMS publish later; editorial Approved means “cleared to go when scheduled.”
- Learning loop — Performance data post-publish may suggest future brief tweaks; it does not block approval of the current draft.
- Batch review — Sort Contents by planned date and channel to clear a week efficiently.
- Reject gracefully — Rejected keeps history; fix in In progress and resubmit rather than deleting the item.
Next step
Connect your CMS and Publish Content as a Draft or Live Post when editorial status is Approved.
