Move and Reschedule Calendar Items
Shift planned publish dates and reorganize your unified calendar when priorities change—across strategy, campaign, opportunity, and manual layers.
Overview
Each calendar item carries a planned date that positions it on the week and month views and drives your team’s sense of urgency. When campaigns slip, opportunities spike, or capacity changes, you reschedule items instead of deleting and recreating them—preserving brief history, content drafts, and status.
Rescheduling updates the slot on the unified calendar. It does not change brief approval or editorial status by itself. If you move an Approved brief with an existing draft, the content stays linked; only the target date changes.
When to use
- A campaign launch moves and campaign-layer briefs need new dates.
- You want to de-conflict two items competing for the same week.
- An opportunity topic is timely now and should jump ahead of evergreen strategy slots.
- Capacity dropped and you need to push a batch of strategy items to a later week.
Before you start
- Open Calendar and select the planning(s) containing the items to move.
- Note whether you are moving brief-only items or items that already have content drafts—both can move, but published CMS content may need a separate publish-date decision on the CMS.
- For campaign parent views, edit dates on the child workspace strategy that owns the slot; aggregated parent views may be read-only for mutations.
Steps
Reschedule a single item
- Open Calendar and locate the item on Week or Month view, or open it from Briefs view.
- Open the item detail or brief editor.
- Change the Planned date (or Publish date field on the brief).
- Save. The item moves to the new day on the grid and in the briefs table.
- Verify channel capacity for that week—see tips if the week now looks overloaded.
Reschedule from the briefs table
- Switch to Briefs view and sort or filter by date.
- Open the row’s detail or inline date control when available.
- Set the new date and save.
- Use filters by layer to adjust only campaign or only strategy items.
Bulk or sequential adjustments
- Filter Briefs by week or layer (for example all Strategy items in the current month).
- Open each item that needs moving and update dates—or use multi-select bulk date shift when the UI offers it on the current page.
- After moving campaign items, spot-check the campaign plan summary for date drift vs the original plan.
Remove instead of move
- If the topic is no longer relevant, Remove the calendar item from detail or bulk actions.
- Removal deletes the linked brief and, depending on options, associated draft content—use when the slot should disappear entirely, not slide forward.
Expected result
- Items appear on the new dates in week, month, and briefs views.
- Brief and editorial statuses are unchanged unless you edited them separately.
- Layer badges (Strategy, Campaign, Opportunity, Manual) stay the same—only timing shifts.
- Team members see an updated timeline without losing brief or draft work.
Tips
- Generation focus — Moving items does not require regenerating the calendar; avoid full regeneration unless you want entirely new topics.
- Same-week collisions — Two strong posts on one channel the same day may cannibalize attention; stagger manually even if the system allowed the overlap.
- Campaign plan fidelity — Large reschedule batches on campaign briefs may desync from the original week-based plan; note changes for stakeholders.
- Published content — Moving a calendar date does not retroactively change a live CMS publish date; update scheduling on WordPress or Webflow if needed.
- Opportunity freshness — Signal-driven topics lose value quickly; prioritize moving Opportunity layer items rather than letting them expire on old dates.
