Manage Email-Only and Platform Contributors

Collect field insights from sales and experts without giving them full platform access—and understand when a billed contributor seat applies.

Overview

CntX supports two contributor models for Voice of the Field and related insight workflows:

Email-only contributors are registered on a workspace and matched to inbound messages sent to the workspace email address. They never consume a company platform seat and are not charged on Stripe.

Platform contributors with the CONTRIBUTOR role are billed add-ons on Business subscriptions (Stripe item `cntx_contributor_seat`). They are not the same as internal EDITOR or VIEWER users invited under Settings → Users.

When to use

  • Sales or customer-facing teams send market feedback to your workspace inbox.
  • You see Emails not associated with contributors in workspace settings.
  • You want a external expert to log in without granting full editor permissions.
  • You are reconciling contributor quota on Plus (3), Pro (10), or Business (unlimited email-only quota).

Before you start

  • Open the correct workspace—contributors are workspace-scoped, not company-wide.
  • Confirm your plan contributor quota (`contributorsPerWorkspace`): Plus 3, Pro 10, Business unlimited for email-only contributors.
  • For platform contributors, ensure Business billing is active and an admin can add billed seats.
  • Copy the workspace inbound email from Workspace → Edit workspace if contributors will send messages manually.

Steps

1. Open workspace contributor settings

  1. Switch to the target workspace.
  2. Open Workspace in the sidebar → Edit workspace (or workspace settings).
  3. Scroll to Contributors and Inbound email.

Note the workspace email format: `{company-prefix}@cntx.app` or `{company-prefix}-{workspace-shortId}@cntx.app`.

2. Add an email-only contributor

  1. Click Add a contributor.
  2. Enter the person’s work email.
  3. Save.

Future Voice of the Field messages from that sender attach to this contributor profile. Previously received unassociated messages can be linked when you add them.

3. Review unassociated inbound emails

If senders already emailed the workspace before you registered them:

  1. Check Emails not associated with contributors.
  2. Review message counts and latest timestamps.
  3. Click Add as contributor for each trusted sender.

This unlocks full message content and Réagir opportunities tied to that person.

4. Add a platform contributor (Business)

When an external person needs UI access:

  1. Ensure Business subscription is active.
  2. Open Settings → Users (company admin).
  3. Invite the user with role CONTRIBUTOR (when available in your tenant).
  4. Confirm billing reflects the additional contributor seat (2 €/month).

Platform contributors are billed; email-only contributors are not.

5. Remove a contributor

  1. Open the contributor row in workspace settings.
  2. Choose Delete and confirm.

If messages were linked, deleting disassociates them from that contributor profile—review the warning before confirming.

Expected result

  • Email-only contributors appear in the workspace list without increasing platform user count.
  • Inbound field emails route to Insights → Voice of the Field under the correct contributor.
  • Platform contributors can sign in with limited permissions and appear on the Business Stripe subscription as billed seats.
  • Quota indicators stay within plan limits for email-only contributors.

Tips

  • Prefer email-only contributors for large sales teams—you avoid seat costs while still capturing insights.
  • Register contributors before campaigns go live so Réagir opportunities are attributed correctly.
  • Do not confuse workspace contributors with Settings → Users invitations—they serve different access models.
  • On Agency client accounts, configure contributors inside each client workspace, not on the agency gateway account.
